Billing Management

Managing your RaspberryPints billing is handled entirely through Stripe's secure customer portal. This guide covers how to access the portal and manage all aspects of your billing and subscriptions.

Accessing the Stripe Customer Portal

From Your My Account Page

  1. Log into your account at login
  2. Navigate to My Account - Your main account page
  3. Find Your License - Locate the license you want to manage
  4. Click "Manage Billing" - Click the Manage Billing button next to your brewery
  5. Stripe Portal Opens - This opens the Stripe Customer Portal in a new tab

About the Stripe Customer Portal

The Stripe Customer Portal is a secure, hosted billing management interface that provides:

  • Payment method management
  • Invoice history and downloads
  • Subscription modifications (upgrades/downgrades)
  • Billing address updates
  • Subscription cancellations

Important: All billing operations happen in the Stripe portal. RaspberryPints redirects you there for security and convenience.

Payment Method Management

In the Stripe Customer Portal

Once you click the "Manage Billing" button:

  1. Payment Methods Section - View all saved payment methods
  2. Add Payment Method - Click to add new credit/debit cards
  3. Set Default - Choose which card to use for future billing
  4. Remove Cards - Delete outdated payment methods

Accepted Payment Methods

Credit Cards:

  • Visa
  • Mastercard
  • American Express
  • Discover

Debit Cards:

  • Visa debit
  • Mastercard debit

International Cards: Most international cards accepted

Payment Method Security

  • PCI Compliance - All payment data secured with industry standards
  • No Local Storage - RaspberryPints never stores your payment details
  • Stripe Encryption - All information encrypted and managed by Stripe
  • Secure Processing - Industry-leading payment security

Subscription Management

Viewing Your Current Subscription

From your My Account page, you can see:

  • Current Plan - Free tier, Basic, or Professional
  • License Status - Active, Cancelled, Past Due, etc.
  • Billing Cycle - Monthly or yearly (for paid plans)
  • Next Billing Date - When your next payment is due

For detailed billing information, click the "Manage Billing" button to access the Stripe portal.

Changing Your Billing Cycle

In the Stripe Customer Portal:

Monthly to Yearly

  1. Access Stripe Portal - Click the "Manage Billing" button
  2. Find Subscription - Locate your current subscription
  3. Change Billing - Look for billing frequency options
  4. Select Yearly - Choose annual billing
  5. Confirm Change - Review and confirm the change
  6. Automatic Discount - 20% discount applied automatically

Yearly to Monthly

  1. Access Stripe Portal - Same process as above
  2. Change to Monthly - Select monthly billing option
  3. Effective Date - Change typically takes effect at next billing cycle

Upgrading Your Plan

All upgrades happen in the Stripe Customer Portal:

  1. Click "Manage Billing" - From your My Account page
  2. Find Current Subscription - Locate your active subscription
  3. Upgrade Options - Look for plan change or upgrade options
  4. Select New Plan - Choose Basic or Professional
  5. Confirm Upgrade - Review pricing and confirm
  6. Immediate Access - New features available instantly
  7. Prorated Billing - You pay the difference for the current period

Downgrading Your Plan

Downgrades also happen in the Stripe portal:

  1. Access Stripe Portal - Click the "Manage Billing" button
  2. Current Subscription - Find your active subscription
  3. Downgrade Option - Select lower tier plan
  4. Effective Date - Usually takes effect at next billing cycle
  5. Feature Changes - Some features may become unavailable

Important Downgrade Considerations:

  • Tap Limits - Professional (100 taps) → Basic (8 taps) may require removing beers
  • Branding Features - Moving to Free tier removes custom branding access
  • Data Retention - Your data is preserved but some features may be limited

Invoice and Payment History

Accessing Your Invoices

  1. Click "Manage Billing" - From your My Account page
  2. Invoice History - Find the invoices section in Stripe portal
  3. View Details - Click any invoice to see breakdown
  4. Download PDFs - Save invoices for your records

Understanding Your Invoice

Invoice Information Includes

  • Invoice Number - Unique identifier for each invoice
  • Billing Period - Dates covered by the invoice
  • Plan Details - Subscription plan and billing cycle
  • Amount Charged - Total amount processed
  • Payment Method - Card used for payment
  • Tax Information - Any applicable taxes

Invoice Status Types

  • Paid - Successfully processed
  • Open - Awaiting payment
  • Past Due - Payment failed or overdue
  • Void - Cancelled invoice

Failed Payments

What Happens When Payment Fails

  1. Automatic Retry - Stripe automatically retries failed payments
  2. Email Notification - You'll receive failure notifications
  3. License Status Change - Your license may show "Past Due" status
  4. Grace Period - Limited time to resolve payment issues

Resolving Failed Payments

  1. Access Stripe Portal - Click the "Manage Billing" button
  2. Update Payment Method - Add or update your payment method
  3. Retry Payment - Stripe will attempt payment with new method
  4. License Restoration - Service restored once payment succeeds

Managing Multiple Licenses

If You Have Multiple Licenses

Each license has its own "Manage Billing" option as a button:

  • Separate Billing - Each license billed independently
  • Individual Management - Select "Manage Billing" from each brewery separately
  • Different Payment Methods - Can use different cards for each license
  • Consolidated View - See all licenses in your My Account page

License Expiration and Brewery Status

When licenses expire or are cancelled:

  • Brewery Reverts to Free Tier - Automatically becomes free tier with 3 taps limit
  • No Data Loss - All brewery data is preserved
  • Reactivation Available - Purchase new license to upgrade brewery back to paid features

Subscription Cancellation

Cancelling Through Stripe Portal

  1. Click "Manage Billing" - From your My Account page
  2. Find Subscription - Locate the subscription to cancel
  3. Cancel Option - Look for cancellation or end subscription option
  4. Confirm Cancellation - Follow Stripe's cancellation flow
  5. Access Continues - Keep access until end of current billing period

What Happens After Cancellation

Free Tier Cancellation

  • No Charges - Free tier has no charges to cancel
  • Continued Access - Keep access to free tier features
  • Account Preserved - Account remains for future upgrades

Paid Subscription Cancellation

  • End of Period Access - Access continues until billing period ends
  • Brewery Downgrade - Brewery automatically becomes free tier
  • No Refunds - No partial refunds for monthly or annual subscriptions
  • Data Preservation - All brewery data preserved for reactivation

Refund Policy

Standard Policy

  • No Partial Refunds - Monthly and annual payments are non-refundable
  • Exception Cases - Technical issues or billing errors may qualify for review
  • Contact Support - Reach out for exceptional circumstances

Reactivating Cancelled Subscriptions

  1. Purchase New License - Go to pricing page and buy new license
  2. Data Restoration - Previous brewery data is preserved
  3. Transfer Option - Option to transfer brewery from free tier to new license appears
  4. Fresh Billing Cycle - New billing cycle starts with reactivation

Billing Troubleshooting

Common Issues

Problem: Can't access Stripe portal
Solutions:

  • Verify you're logged into correct RaspberryPints account
  • Click the "Manage Billing" button next to your brewery
  • Clear browser cache and cookies
  • Try different browser
  • Disable browser extensions that might block popups

Problem: Payment method declined
Solutions:

  • Update payment method in Stripe portal
  • Verify card details are correct
  • Check card expiration date
  • Ensure sufficient funds available
  • Contact your bank about international charges

Problem: Don't see upgrade/downgrade options
Solutions:

  • Make sure you're in the Stripe Customer Portal (not My Account page)
  • Look for "Subscription" or "Plan" sections in Stripe portal
  • Contact support if options aren't visible

Problem: Changes not reflecting in My Account
Solutions:

  • Refresh your My Account page
  • Changes may take a few minutes to sync
  • Check Stripe portal to confirm changes were processed
