Brewery Setup and Assignment

Once you have an active license, you can create and configure brewery profiles. This guide covers the complete process of setting up breweries and assigning them to your licenses.

Understanding Breweries and Licenses

How Licenses and Breweries Work Together

  • License = Your subscription plan (Free tier, Basic, or Professional)
  • Brewery = Individual brewery location/profile (one per license)
  • Assignment = Connecting a brewery profile to a specific license

License Brewery Limits

  • Free Tier: 1 brewery maximum
  • Basic Plan: 1 brewery maximum
  • Professional Plan: 1 brewery maximum

Note: Each license supports exactly one brewery location. For multiple locations, you'll need separate licenses.

Creating Your First Brewery

Prerequisites

  • Active RaspberryPints account
  • Active license (Free tier, Basic, or Professional)
  • Verified email address

Step 1: Access Brewery Setup

  1. Log into your RaspberryPints account
  2. Navigate to your My Account page
  3. Find the license that doesn't have a brewery assigned yet
  4. Click the "Set Up Brewery" button to open the brewery setup modal

Step 2: Enter Brewery Information

Fill out the brewery setup form with the following information:

Basic Information

  • Brewery Name - The official name of your brewery
  • Brewery Type - Select from available options:
    • Homebrewery
    • Microbrewery
    • Brewpub
    • Regional Brewery
    • Large Brewery
    • Contract Brewery
    • Other

Subdomain Configuration

  • Subdomain - This creates your unique URL: yourbrewery.taplists.raspberrypints.com
  • Auto-generated - The system suggests a subdomain based on your brewery name
  • Custom Option - You can modify the suggested subdomain
  • Availability Check - The system verifies your subdomain is available

Step 3: Subdomain Guidelines

Subdomain Rules

  • Must be 3-63 characters long
  • Can contain letters, numbers, and hyphens
  • Cannot start or end with a hyphen
  • Must be unique across all RaspberryPints users
  • Cannot contain profanity or inappropriate content

Examples of Good Subdomains

  • hoppy-trails-brewing
  • mainstreet-brewery
  • craftbeer2024
  • mountainview-brewing

Examples to Avoid

  • a (too short)
  • this-is-a-very-long-brewery-name-that-exceeds-character-limits (too long)
  • -hops-brewery (starts with hyphen)
  • brewery-name- (ends with hyphen)

Step 4: Complete Setup

  1. Review Information - Double-check all entered details
  2. Verify Subdomain - Confirm your subdomain URL is correct
  3. Click "Create Brewery" - Submit your brewery profile
  4. Confirmation - You'll see a success message with your brewery URLs

Your Brewery URLs

After setup, you'll have two important URLs:

Public Taplist URL

https://yourbrewery.taplists.raspberrypints.com

  • Purpose: Customer-facing beer menu
  • Access: Public (no login required)
  • Use: Share with customers, display on TVs, print QR codes

Admin Management URL

https://yourbrewery.taplists.raspberrypints.com/admin

  • Purpose: Brewery management interface
  • Access: Requires login to your RaspberryPints account
  • Use: Add/edit beers, manage taps, view analytics

Managing Multiple Breweries

Adding Additional Breweries

To add additional brewery locations:

  1. Purchase Additional License - Each brewery requires its own license
  2. Access My Account - Go to your account overview
  3. Set Up New Brewery - Use your new license to create another brewery
  4. Follow Setup Process - Complete the same setup steps for each location

Brewery Management Dashboard

From your My Account page, you can:

  • View All Breweries - See all breweries across your licenses
  • Access Management - Direct links to each brewery's admin interface
  • Monitor License Status - See which licenses are active, expired, or on free tier

Brewery Assignment and Transfer

When Brewery Transfer is Available

Brewery transfer is only available in specific circumstances:

  • License Expiration/Cancellation - When your current license expires or is cancelled, the brewery automatically becomes a free tier brewery
  • Reactivation Option - If you purchase a new unused license, you'll have the option to transfer the brewery from free tier to the new paid license

How Brewery Transfer Works

Step 1: License Cancellation/Expiration

  • Your paid license expires or is cancelled
  • Brewery automatically reverts to free tier status (3 taps, basic features only)
  • Important: All brewery data is preserved - no information is lost

Step 2: View Cancelled License Status

  • Go to your My Account page
  • Your cancelled license will show a red "Cancelled" status badge
  • The brewery subdomain is still displayed on the licence card
  • A "Transfer to Valid License" option appears in the brewery actions menu (three-dots button)

Step 3: Purchase New License (If Needed)

  • If you don't have an available license, select "Transfer to Valid License" from the actions menu
  • Modal will show "You don't have any available licenses to transfer to"
  • Click "Buy New License" to go to the pricing page
  • Purchase a new Basic or Professional license
  • Return to your My Account page

Step 4: Initiate Transfer

  • Select "Transfer to Valid License" from the brewery actions menu (three-dots button) on your cancelled license
  • Transfer modal opens explaining the process

Step 5: Select Target License

  • Choose from dropdown of available licenses (those without breweries assigned)
  • Options show as "[Plan Type] - [Status]" (e.g., "Professional Plan - Active")
  • Select the license you want to transfer your brewery to

Step 6: Complete Transfer

  • Click "Transfer Brewery" button to confirm
  • System processes the transfer immediately
  • Page refreshes to show your brewery now assigned to the new license
  • Brewery immediately gains all features of the new license tier

Transfer Limitations

  • Only available when moving from expired/cancelled license to new license
  • Destination license must not already have a brewery assigned
  • Transfer restores full functionality based on new license tier
  • No downtime during transfer process

Troubleshooting Brewery Setup

Common Setup Issues

Problem: "Subdomain already taken"
Solutions:

  • Try adding numbers or hyphens to make it unique
  • Use abbreviations or location names
  • Consider alternative brewery name variations

Problem: "Invalid subdomain format"
Solutions:

  • Remove special characters (except hyphens)
  • Ensure subdomain doesn't start/end with hyphen
  • Check length requirements (3-63 characters)

Problem: "Setup button not visible"
Solutions:

  • Verify you have an active license
  • Check that your license doesn't already have a brewery assigned
  • Refresh the page and try again
  • Contact support if button remains missing

Problem: "Cannot access brewery admin"
Solutions:

  • Verify you're logged into the correct account
  • Check that the brewery is assigned to your license
  • Clear browser cache and cookies
  • Try accessing from your My Account page

Browser and Technical Issues

Requirements for Setup:

  • Modern web browser (Chrome, Firefox, Safari, Edge)
  • JavaScript enabled
  • Stable internet connection
  • Cookies allowed for session management

Post-Setup Next Steps

Immediate Actions After Brewery Creation

  1. Bookmark Your URLs - Save both public and admin URLs
  2. Test Access - Verify you can access both the public taplist and admin interface
  3. Share Public URL - Begin sharing your taplist with customers
  4. Begin Beer Management - Start adding beers and configuring taps

Customization Options

From your brewery admin interface, you can:

  • Add Your First Beers - Create your beer database
  • Configure Tap Layout - Set up your tap configuration (up to 3 taps on Free tier, 8 taps on Basic, or 100 taps on Professional)
  • Customize Display - Basic and Professional plans include custom branding and advanced CSS
  • Upload Logo - Add your brewery logo and branding (Basic and Professional plans)

Security and Access

Protecting Your Brewery Admin

  • Strong Passwords - Use secure login credentials
  • Secure URLs - Don't share admin URLs publicly
  • Team Access - Invite team members with role-based permissions (Basic+)
  • Regular Reviews - Periodically review who has access

Public Taplist Considerations

  • Share Freely - Public URLs are meant to be shared
  • QR Codes - Generate QR codes for easy customer access
  • Display Options - Safe to display on public screens and TVs
